SquadGame · Privacy Policy

SquadGame helps grassroots football clubs organise games, pick balanced teams, track results and collect match fees. This policy explains what personal data we handle, why, who we share it with, and the control you have over it.

Last updated: 19 September 2026

1Who we are

SquadGame is provided by SquadGame Sports Ltd, a company registered in Scotland (company number SC895697), registered office 6 Panther Drive, Glasgow, G71 6UH. In this policy "we", "us" and "our" mean SquadGame Sports Ltd.

We are the data controller for the personal data described here. If you have any questions about this policy or how we handle your data, contact us at support@squadgame.live.

2What we collect

We only collect what we need to run the app. That falls into these groups:

CategoryExamples
Account Email address and password (handled by Firebase Authentication), and your display name. Used to sign you in and identify you to your teammates.
Profile Optional nickname, avatar photo, preferred position, and your own self-assessment of fitness, experience and skill.
Team & membership Which groups (teams) you belong to, your role in each (player or Gaffer/admin), and the join codes you use.
Game activity Your availability (RSVPs), the teams you're picked for, goals, assists, man-of-the-match votes, and the peer ratings you give and receive. Gaffers may also record scores and a preferred position for players in their team.
Payments If your Gaffer enables match-fee payments, we record whether a fee is paid and how (card or cash). Card payments are processed by Stripe — we never see or store your full card details.
Device & notifications If you allow push notifications, we store the notification token that Google Firebase Cloud Messaging issues to your device, along with your notification preferences. The token identifies a device rather than you personally, and is what lets us alert you about a new game, an RSVP reminder, a team reveal or a match fee. It is removed when you sign out on that device, and you can turn notifications off at any time.
Support & technical Feedback you send us (with your name and email so we can reply), plus basic technical data such as the platform you're using and timestamps.

3Why we use it & our legal bases

Under UK GDPR we rely on the following legal bases:

We do not sell your data, and we do not use it for third-party advertising. SquadGame carries no advertising and no advertising trackers.

4Who we share it with

Some of what you enter is visible to other members of your team — for example your name, availability, the squads you're picked for, and public match facts like goals and man-of-the-match. Your private self-assessment and the Gaffer's internal scores are never shown to other players.

We use a small number of trusted service providers who process data on our behalf:

We may also disclose data if required by law, to protect our rights or users, or as part of a business sale or reorganisation.

5International transfers

Our data is primarily stored in the United Kingdom / European Economic Area. Some providers (such as Google and Stripe) may process data outside the UK/EEA. Where they do, that transfer is protected by appropriate safeguards such as UK adequacy regulations or Standard Contractual Clauses.

6How long we keep your data

We keep your personal data for as long as you have an account with us. When you delete your account, or ask us to erase your record from a specific team, we remove your identity — your name, profile and avatar — from that scope.

The contributions you made to a team's shared history are anonymised rather than deleted. Statistics such as goals, assists, ratings and match results stay part of the team's records, but they are de-identified so they can no longer be traced back to you: your name is replaced and you no longer appear in any squad, leaderboard or results table. This keeps each club's history intact without keeping you personally identifiable.

Payment and accounting records are retained where we are legally required to keep them — for example to meet tax, accounting and fraud-prevention obligations (typically up to six years for UK financial records). These records are held in de-identified form after deletion and are not used for any other purpose.

7Your rights

Under UK GDPR you have the right to:

To exercise any of these, email support@squadgame.live. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

8Deleting your data

You can remove your data in three ways:

Deletion is permanent and, as described in section 6, anonymises your past contributions rather than erasing a team's shared history. If you need help, email support@squadgame.live.

9Security

Data is encrypted in transit using HTTPS/TLS. Access to the database is controlled by security rules so members can only see what they're entitled to, and sensitive actions such as deleting your account require you to re-enter your password. No system is ever completely secure, but we take reasonable steps to protect your data and to keep our providers up to date.

10Children

SquadGame is intended for users aged 13 and over, and we do not knowingly collect data from children under 13. Where a club organises youth football, the account should be held and managed by a parent, guardian or coach. If you believe a child under 13 has created an account, contact support@squadgame.live and we will remove it.

11Cookies & local storage

SquadGame uses only the storage it needs to work. Firebase Authentication keeps a secure sign-in token in your browser or device so you stay logged in, and the app stores a notification token on your device if you have allowed push notifications. We do not use advertising or third-party tracking cookies, and we do not use any device identifier for advertising.

12Changes to this policy

We may update this policy as the app develops or the law changes. The "last updated" date at the top always reflects the current version, and significant changes will be highlighted in the app.
